Summary: The Events & Marketing Coordinator works closely with internal teams to coordinate events (conventions, sales and trade shows, special events, and other events) and marketing needs. This position coordinates all aspects of event planning including logistics, booth inventory and materials, rentals, shipping, staff and volunteer scheduling, event-related sales materials, event promos, and vendor relationships.
Interaction: Interface with key department personnel: Marketing, Product Brand Management, Sales, Operations, and Customer Support. Work with outside parties including licensors, advertisers, sponsors, media, agencies, and consultants.
Priority Ranking:
Coordinate events & tradeshows - At the direction Marketing Services Manager, follow through with event-related logistics and execution.
Marketing team support - Act as a general coordinator for the marketing team for shipping, communications, and other responsibilities as determined by manager.
Responsibilities:
Events
Coordinate annual events, timelines, and plans
Execute on event budgets based on parameters set by the Marketing Services Manager and Director of Marketing
Monitor and reconcile invoices and individual event budgets
Provide event recap including photos, sales, and feedback (where appropriate)
Coordinate and facilitate event-related contract negotiations
Negotiate rates and secure group hotel blocks and meeting spaces
Manage on-site executions including staff schedules, booth set-up/dismantle, rentals, labor, inventory, special events, and raffles
Coordinate with sales team to determine product needed for various events
Coordinate shipping and drayage to and from all events
Coordinate staffing and volunteer lists and schedules for each show
Submit creative requests for all event collateral, signage, etc.
Work with graphic designers and editors on event marketing materials
Create event timelines and checklists to manage workflow
Manage relationships with outside vendors and partners, including production companies, decorators, unions, and exhibition companies
Maintain event files and document all events for future reference
Marketing Coordination
Assisting the marketing team with planning, brainstorming, presentations, file organization, meeting note-taking, and other support tasks
Shipping of product from warehouse to various media and influencer contacts
Time Distribution:

10% - Travel & on-site events management
Qualifications:
2+ years of experience in tradeshow & events planning
Ability to travel for events, including weekends
Experience with tabletop games and/or entertainment industry
Comfortable with technology, knowledge of Airtable a plus
